What you'll accomplish

By the end of this guide, you'll be able to record a homeowner conversation, get an AI-written transcript, and receive specific coaching feedback on where you lost momentum, what you said well, and exactly what to say differently next time — without needing a sales manager in the room.

What you'll need

  • Your smartphone (any model with a voice recorder)
  • A free ChatGPT account (chat.openai.com) or Claude account (claude.ai)
  • Homeowner's permission to record (check your state's recording laws — most states only require one-party consent, which means you can record your own calls; verify this for your state)
  • Time needed: 20 minutes to set up your recording habit; 10–15 minutes per call analysis
  • Cost: Free (phone voice recorder + free ChatGPT/Claude)

How-To Guide: Transcribe and Analyze Your Sales Calls for Self-Coaching

Step 1: Set Up Your Recording System

The simplest method: use your phone's built-in voice recorder app (every iPhone and Android has one — search "Voice Memos" on iPhone or "Voice Recorder" on Android).

For in-person homeowner conversations during inspections:

  • Place your phone face-down on a nearby surface (porch railing, truck bed)
  • Start the recording before you knock, or right as the conversation starts
  • Stop it when you leave

For phone calls: Some CRM apps (AccuLynx, JobNimbus) offer call recording as an add-on. Otherwise, use your phone's built-in screen recorder which can capture audio during calls.

What you should see: A voice memo file in your recordings list after each conversation.

Troubleshooting: If the recording is muffled, try keeping your phone in your shirt pocket for in-person conversations.
