For Roofing Sales Representatives ·
What you'll accomplish
By the end of this guide, you'll be able to record a homeowner conversation, get an AI-written transcript, and receive specific coaching feedback on where you lost momentum, what you said well, and exactly what to say differently next time — without needing a sales manager in the room.
What you'll need
The simplest method: use your phone's built-in voice recorder app (every iPhone and Android has one — search "Voice Memos" on iPhone or "Voice Recorder" on Android).
For in-person homeowner conversations during inspections:
For phone calls: Some CRM apps (AccuLynx, JobNimbus) offer call recording as an add-on. Otherwise, use your phone's built-in screen recorder which can capture audio during calls.
What you should see: A voice memo file in your recordings list after each conversation.
Troubleshooting: If the recording is muffled, try keeping your phone in your shirt pocket for in-person conversations.
Option A — Free, manual (2 minutes): Play back your recording and write down the rough outline of the conversation — what you said, what the homeowner said, where they hesitated. You don't need a perfect transcript; key moments are enough.
Option B — Automated transcription (more accurate): Upload your audio file to a free transcription service. ChatGPT Plus ($20/mo) can transcribe audio files directly. Alternatively, upload to Otter.ai (free tier gives 600 min/month) to get a full text transcript. Copy the transcript text.
Go to chat.openai.com or claude.ai. Paste your transcript (or your rough notes) and type this prompt:
This is a transcript/notes from a roofing sales conversation with a homeowner. I'm a roofing sales rep.
[PASTE TRANSCRIPT OR NOTES]
Please analyze this conversation and tell me:
1. What did I do well? (Be specific)
2. Where did I lose momentum or the homeowner's interest?
3. What objections came up and how could I have handled them better?
4. Was there a moment where I could have asked for the appointment/signature and didn't?
5. Give me 2-3 specific phrases I should use differently next time.
What you should see: A structured coaching analysis with specific, actionable feedback.
Read through the analysis and pull out the 1–2 most important changes to make. Add them to a "improvements" note on your phone that you review before your next canvassing session.
Don't try to fix everything at once — focus on one thing per week.
After analyzing 5–10 calls, paste your notes into ChatGPT with this prompt: "Here are notes from 8 different sales conversations. What patterns do you see in where I consistently lose momentum? What's the one thing I should work on first?"
This turns individual feedback into strategic coaching over time.
Basic call review: "Review these sales call notes and tell me where I lost momentum and how to do better next time: [NOTES]"
Objection analysis: "In this transcript, the homeowner said [OBJECTION]. What was the best response I could have given? What did I say instead?"
Pattern analysis (multiple calls): "Here are notes from 6 sales conversations this week. What's the most common point where homeowners disengage? What's causing it?"
Pre-call prep: "I'm calling back a homeowner tomorrow who said they need to think about it. Based on these notes from my original visit, what should I say in the first 30 seconds of the call?"
